From today, what you spend on the road — fuel, tolls, ferries and truck and trailer rentals — is no longer taken off each trip. It goes onto a card, and the card is settled at the end of the month.
You have two, and you'll find them under My Cards, in the menu, below My Fleet.
Yours is held by everyone and travels with you: change company, leave or get kicked, it stays yours. It has no limit and is charged on the last day of the month, in one go.
Your company's is issued by your VTC, with a monthly limit they decide. If they haven't issued you one, you don't have one — and that isn't a bug: it's your VTC deciding who gets one and for how much. You can ask for it from your own page.
How it works in practice
A switch comes turned on that says "pay with the company card whenever there's balance left". With that you don't have to do anything: every cost is covered by your company while it has monthly allowance left, and when that runs out, the rest goes on yours.
If you'd rather decide yourself, switch it off and choose charge by charge. Either way you can change who pays each line, with a button, until the month closes.
A charge isn't split between the two: if it doesn't fit in what you have left, it goes entirely on yours. And when a delivery has several charges and they don't all fit, they're covered starting with the cheapest, so the company card covers as many things as possible.
You don't have to wait for the 1st: you can pay it all whenever you like, or pay a single charge from its own line.
Your route breakdown will look different
Fuel and tolls now appear without a red amount, with "goes to your card" next to them. It isn't that you aren't charged: it's that you weren't charged there. It's the same thing that already happened with fines, which show as "1 fine" with no figure because they're paid in Traffic Control.
Two changes that will affect you, and we'd rather tell you
Ferries and trains are now paid by you. Until today your company's cash paid for them and they cost you nothing. That was an exception nobody had designed, and it ends: they become one more cost of yours, which your company card can cover if you have allowance. On routes with long crossings it shows, so keep it in mind when accepting a job.
And what you owe is no longer wiped when you change company. Before, leaving a VTC with a negative balance reset it to zero. Not any more: if you owe money, you still owe it, whether you leave on your own or get kicked. It's your cost, not that of the company you're leaving. A ban still confiscates the balance — that one really is a sanction.
If your balance doesn't cover it
It goes negative, and nothing happens beyond what already did: you keep driving, you keep earning on every route and you work your way out of the red. The only things a negative balance stops, same as before, are taking out a loan and repairing at the workshop — if you're left without a usable truck, take a rental and keep rolling.
For owners and managers
Under Company cards, in Administration, you set each driver a monthly limit. One number per person and that's it: no percentages, no conditions and no inbox of invoices to approve one by one.
At the top of the panel you have four figures before deciding that number: what you're giving in total, what you hold in cash, what you've paid this month and what those same drivers have left you in commission. That last one is the one that matters: it tells you whether the cards are costing you more than they bring in.
The system warns you but doesn't stop you — it's your company and your money. The only thing it won't allow is leaving the cash box negative: if you give €7,000 and hold €200, the card authorises €200.
Issuing a card and raising a limit belong to the owner, but you can delegate it to a rank from the Ranks page. A manager can lower limits and suspend cards without that permission. And when someone issues a card to themselves, it's flagged and in plain sight.
When a driver asks for more, it appears on their own row with a button, and the menu carries a counter so it doesn't slip past you.
It's all explained in the guide
This is the summary. The user guide has the two full sections — one for drivers and one for owners and managers — with every detail, in your language: https://vtcbase.com/guia
